The person who fulfils this role needs to be qualified in two ways: they need to know what to do, but more importantly, they need to know how to get it done. The Executive Assistant (EA) role is not an easy one to perform well. It goes without saying that a broad set of skills is required, and that attitude and aptitude are as important as organisational ability and managing other people. But this role is key to making your business life easier, so the responsibility of selecting someone for this role is not taken lightly. An Executive Assistant is someone you can trust to get it done, the right way, the first time, whether it’s answering your phone, coordinating a meeting, proofreading a document or creating a customer presentation.

This resource is priced by the hour with a minimum commitment of four (4) hours so may be perfect if you need part time support on an ongoing basis, or simply need coverage for someone on leave. 

Approach
The individual assigned is dedicated to working for you, and is intended to be your primary contact person. The quality of the EA can be described in terms of being a senior level person who has excellent interpersonal skills, and sets a high standard of quality. This person is self managed, and adept at finding or creating solutions, as opposed to being specifically directed or task oriented. There will be direct, regular and ongoing email and telephone communication between the EA and you. In fact, the way we think of it, it should “feel” as if the EA is employed by you, and aspires to be an Office Manager who oversees all your administrative needs.
 
Skills and capabilities
The EA will answer the phone, manage your calendar, and arrange for/co-ordinate the completion of a variety of secretarial duties as requested by you, whether those other services are procured from Back Office Front Office or not. They should be able to respond to email and white mail, arrange for courier and shipping, make travel arrangements and be an effective first line representative for suppliers, business associates and customers.
 
The EA will use a variety of tools to fulfill requests; specialised software can be discussed on a case by case basis, but may include ViaPost and Microsoft Office Live Workspace. The EA will use the most advanced tools available within the Telephone Answering Service, and will be given access to the secretarial resources available to Back Office Front Office. The EA will also be proficient in the use of our software management system, and will use the workflow processes to manage more complex tasks, or those which have defined milestones.
